What an ERP system costs: price, factors and how to budget

A realistic frame for the price of an ERP system - what drives it and how to plan without surprises

The short answer: the price of an ERP system for a small or mid-sized company in Bulgaria is built from three parts - a monthly subscription per user, a one-off implementation and, optionally, custom development. At Plana the plans are public and start at €0/month (the free plan), while the full package with every application is €198/month. The final figure depends on the number of users, the modules you choose and the size of the implementation.

💡 Before "what does it cost", ask "what value does it bring". Two quotes at the same price can differ enormously in time saved, automation and data accuracy. Look at the return, not only at the rate.

What drives the price of an ERP system?

The final figure is almost always a sum of several parts rather than a fixed rate. Here are the main components:

👥

Licences / subscription

Monthly, usually per active user.

🧩

Modules

Accounting, inventory, CRM, manufacturing - you pay for what you use.

🚀

Implementation

One-off: analysis, configuration, data migration, training.

🔧

Custom development

By the hour: integrations with banks, couriers, specific reports.

🛟

Support

Ongoing help and updates after go-live.

What an ERP system costs at Plana - concrete prices

Unlike many vendors who hide the price behind "contact us for a quote", Plana publishes clear plans. Here are the current ones (July 2026, VAT excluded):

For comparison: the market rate for a small business in Bulgaria is around 200-400  per month and often covers only part of the modules. Plana Plus gives all applications for €198 - that is, at the lower end of the market, but with the full package.

Plana against the typical vendor - what is the difference?

A worked example: what does it come to for a real company?

Let us put together the budget of a company with 8 users that wants the full application package and one implementation:

🧾 A worked example (VAT excluded)
Plus subscription (5 users included)€198/mo
+ 3 extra users × €20€60/mo
Monthly total€258/mo
Implementation (1 process, one-off)from €3,000
First year (12 × €258 + €3,000)≈ €6,096
Following years: €3,096/year (€258/mo).

And here is how three different profiles look:

ProfilePlanPer monthFirst year*
3 users, standardPlus€198≈ €5,376
8 users, full packagePlus +3€258≈ €6,096
15 users, multi-companyPro€649≈ €10,788

How does a typical first-year budget break down?

For most small and mid-sized rollouts the single largest item in the first year is the implementation and training, followed by the annual subscription:

Cloud or your own server - which is cheaper?

☁️ Cloud

A lower up-front cost - you pay a subscription, and hosting, security and updates are included. A predictable monthly cost. Suitable for most small and mid-sized companies in Bulgaria. Plana's plans are cloud plans.

🖥️ Your own server

It can work out cheaper over a long horizon with many users, but it asks for a serious initial investment in hardware and administration.

Are there hidden costs with ERP?

The items that most often surprise people at the end of a project:

  • ⚠️ Data migration from old systems and Excel.
  • ⚠️ Training for the team and lost productivity at the start.
  • ⚠️ Integrations with banks, couriers and fiscal printers.
  • ⚠️ New users or modules as the business grows.

At Plana these items are clear up front, with no surprises at the end: implementation is from €3,000 per process, and a new user is +€20/month

Is there a free ERP system?

Yes - there are free (open source) versions, Odoo Community for example, where there is no licence fee. At Plana you even have a real free plan (One App, €0) for 2 users and one module. But "free" applies to the software alone: the implementation, the configuration, the training and the support remain a real cost. The free plan is an excellent starting point, as long as you are clear about which functions you will need over the next 2-3 years.

How do you compare quotes properly?

  1. Ask for a breakdown by item (licences, implementation, development, support), not one lump sum.
  2. Check whether training and data migration are included.
  3. Ask about the price of adding a new user or module - the system has to grow with your business.
  4. Compare the total cost over 3 years (TCO), not only the initial price.

Frequently asked questions

What is the minimum price for an ERP system?

At Plana you start from €0/month with the free One App plan (2 users, one module). The full package with every application is €198/month. The real price also includes the one-off implementation, not only the monthly subscription.

What does it come to for a company with 8 users?

Roughly: Plus €198 + 3 extra users × €20 = €258/month, plus a one-off implementation from €3,000. The first year is ≈ €6,096, the following ones ≈ €3,096/year (VAT excluded, migration excluded).

Is it charged per user?

Yes, every plan includes a set number of users, and each additional one is +€20/month. That is why it matters to judge the real number of people who will work in the system.

Is the implementation included in the price?

No - the implementation is a separate one-off item (at Plana from €3,000 per integrated process), and migration from Odoo is a fixed €2,200. Always ask for these items to be stated explicitly.
